Publications Assistant

Position: Full-time

Location: Rockville, Maryland

Education: B.A. in English, journalism, communications, or related field; or a minimum of 2 years of college with 3–5 years relevant experience

Experience:

  • One to three years proofreading experience
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook; Adobe Acrobat; and Web navigation and Internet research
  • Familiarity with desktop publishing software (Adobe Illustrator, PhotoShop, InDesign; or QuarkXpress) preferred
  • Strong interest in learning the publication production process
  • Demonstrated creative thinking and problemsolving skills
  • Knowledge of GPO style preferred, but not required
  • Self-motivated, flexible, and able to work independently and within a team
  • Excellent interpersonal skills, with the ability to interact with staff at all levels of responsibility
  • Detail-oriented, highly organized, able to handle multiple assignments simultaneously and meet deadlines
  • Federal contracting experience and/or interest in biomedical sciences preferred, but not required

Responsibilities: The major day-to-day functions of the Publications Assistant include, but are not limited to:

  • Proofreading written, electronic, and online communications
  • Formatting detailed statistical tables in Excel. Placing text and graphs within templates in Word and PowerPoint.
  • Securing and tracking reviews of proposals and manuscripts; preparing review packages and questions for distribution; and corresponding with reviewers to ensure timely delivery
  • Coordinating the editing process for research-related articles; preparing and tracking articles; handling inquiries and serving as point of contact for researchers and/or government employees; checking reference publication lists; and conducting relevant Web research for images and content
  • Scheduling conference calls for panel discussions with scientists
  • Assisting the Publications Manager with coordination of print and Web production and dissemination of marketing materials
  • Maintaining contact with communications managers and editors and coordinating progress, queries, and recommendations regarding materials in the review process
  • Performing business development tasks and other special projects as assigned
  • Providing administrative support, including intake, electronic tracking and filing, and other duties as needed to the communications services area
